How to transfer references into your EndNote Library
There are a number of ways to transfer references into your EndNote library. These include:
- Direct export from a database
- Import from a database using an import filter (when the direct export) function is not available)
- Connecting to a resources from within your Endnote Library
- Manually entering your references
*Remember that directly exporting references into your EndNote Library may not always be one hundred percent accurate. It is therefore essential that you always check the quality of any references you have imported, and edit them where necessary.
Direct Export from a Library Database
Many online databases now include a direct export function enabling you to export references into your EndNote Library as you search. This can save a lot of time enabling you to gather and retain valuable references as you go along. The direct export function usually involves the following easy steps:
- Run a search of the database
- Mark or select the records you want to save
- Select the option to ‘Export directly to ProCite, EndNote or Reference Manager’ or similar. Some resources do not enable this functionality. In this instance you will need to use a filter to export the references into EndNote. See below for more information.
- Select the EndNote library you wish to export the records to
Import from a database using an import filter (when the direct export function is not available)
There are a number of Library databases / e-resources that do not have the direct export function enabled. In this instance you will need to use a filter to export the references into EndNote. See below for more information.
What is a filter?
A filter allows you to import references and bibliographic information from electronic resources such as databases. The filter tells EndNote how to interpret the information in the references you have saved or downloaded from a database. Therefore the data can be mapped into the correct fields in your EndNote library. Each electronic provider has its own individual way of tagging and organising its data, therefore you will need a different filter for each electronic resource. Most Import filters are already in-built within EndNote.
How do I Import References Using an Import Filter?
- Run a search of the database
- Mark or save the records you want to save
- Save these records to your computer as a text file (i.e. a file with the extension .txt)
- From within your EndNote Library import the text file into your library, using the required filter. The table below details a list of filters and relevant instructions:
Note:
- Different databases have different ways of saving search results in a format that is appropriate for EndNote. These instructions work with Internet Explorer 7, other web browsers such as Firefox may require different instructions.
- For databases that do not have their own filter you could try a filter for a database from the same Information provider (e.g. for any other CSA Illumina database, you could try the ASFA filter or the Sociological Abstracts filter).
You can also go to the EndNote filters web page to download the required filter. You can search by Database Name OR the name of the Information Provider for other import filters, which are available for you to download:

- Can only be added to your EndNote Library manually
Connecting to an e-resource from within your Endnote Library
The option to connect to a Library database from within EndNote is particularly useful for transferring references from the NUI Galway Library catalogue.
How do I download book references from the Library Catalogue?
- Ensure your EndNote Library is open
- Click on Online Search on the left panel on your screen. A box will appear called Choose a connection file
- Highlight Natl Uni Ireland Galway in the A-Z list
- Click on Connect
- Another screen should open which is the Library Catalogue within EndNote
- Search for the reference/s you want to download and highlight. If you want to download more than one reference, select the references by holding the CTRL key
- The references should be imported into your EndNote Library.
Manually entering references into your EndNote Library
There may be occasions where the reference you would like to transfer into your EndNote Library cannot be added either via the direct export option or using an import filter from a Library database.
